Whatever the size of your business, recording and keeping track all your employees’ information is a endless task. Contracts, holiday entitlement, training, sickness, absence…. The list goes on.

And you need to be looking after your customers. Sorting the immediate day to day tasks of running your business.

 

HR management (as the corporate types like to call it) isn’t urgent. It’s too easy to put off until you have more time. The problem is, the longer you leave it, the bigger the job. But when Jack’s looking to book a holiday or Jill’s phoned in sick again – suddenly it’s urgent. And you need the information at your fingertips.

Big companies have whole HR departments to manage their employees, but if you’re running a small business, it’s just one of your many roles. The obvious answer is to go digital. Invest in HR software to save you time.

Not that simple I’m afraid. There’s a lot of HR software on the market and most of it is built and designed for big companies. Clever and sophisticated software with every feature you could ever need…..and a price to match.

If you are a small business (if you have 1-99 staff – I’m talking to you), most HR software is overkill. It will cost you more time not save it. Setting up all the options and parameters can be a huge task. Getting to grips with all the features and reports will take hours. And every feature you don’t use is money wasted.

Before you look for an HR software solution you need to ask what you want from your software. No business will be the same, but I would bet most of the following would feature on your wish list.

  • Time saving – quick to setup and simple to maintain – letting you get on with running your business
  • Easy to use – intuitive menus that make editing and changing information a breeze
  • Fast searching – details at your fingertips as soon as you need them
  • Simple reporting – the information you need in a format you can understand
  • Timely reminders – never miss important dates like the end of a trial contract or an employee’s birthday

And one you probably didn’t have on your wish list but you can’t afford to miss.

General Data Protection Regulation (GDPR) ready. From May next year all data stored by any business, including your employees’ information, must meet GDPR. So GDPR ready is a must.

HR is an essential part of even the smallest business and the right software can make it manageable. Putting together your wish list of the essentials you need before you invest will really help you choose the right HR software to save you time and money. If you don’t you will be paying for a tool that makes more work for you, not less. And that I know you don’t need.
